Qualifications: - Minimum: High School diploma; degree in higher education preferred- Administrative/office experience, preferably 3-5 years- Maintain high standards of confidentiality, attendance and flexibility while working cooperatively with supervisors, staff, and community members- High levels of organization including electronic and document file management- Ability to organize, prioritize and complete multiple, short and long-term tasks with frequent interruptions.- Proficiency in keyboarding and word-processing, Excel, database management, Google Suite. Familiarity with web/graphic design. - Ability to write clearly and effectively and to edit materials, including letters and memos- Accuracy and attention to detail- Capable of independent research, organization, and follow-through- Citizenship, residency or work visa requiredAdministrative Assistant Support to the Assistant Superintendent of Schools- Serve as point person for communication and scheduling for the office of the Assistant Superintendent.- Manage data entry in the Vector Solutions database for professional development, educator evaluation plans, and mandated training.- Maintain the budget accounts and tracking of expenses for professional development, grants, travel, and curriculum accounts.- Assist with event planning, logistics, and preparations for events for the Assistant Superintendent- Process professional development conference and workshop registrations for district staff- Perform all duties related to the processing of purchase orders and vouchers and any bookkeeping tasks associated with curriculum- Process annual stipend contracts for Title I, Title IIA, mentors, and curriculum assistants- Maintain mentor training records and requirements for district mentor program- Assist with the processing for new hires with updates to Vector Solutions, Atlas Curriculum Database, and other required software- Additional responsibilities as assigned by the Assistant SuperintendentGeneral Responsibilities- Main reception greet guests, receive calls, and accept deliveries for Central Office personnel- Support Human Resources and the Business Department as neededTerms of Employment: - This is a twelve-month position; 1.0 F.T.E.Work Environment: Work is performed in an office environment. The majority of work is performed in a moderately busy work environment with occasional to frequent interruption.
Work requires frequent contact with central office administrators and school department staff. While performing the duties of this job, the employee is frequently required to work at a desk; regularly convey information to school employees and the public; regularly move about the office to access file cabinets and office machinery. The employee must occasionally lift and/or move objects weighing up to 25 pounds, such as supplies, folders, and books. Ability to operate a keyboard and calculator at an efficient speed and to view computer screens for extended periods of time.
