The Executive Assistant Role

The Executive Assistant will be part of a small team of staff supporting the IEP Group CEO and Board in delivering the Institute’s Vision and Strategic Plan. You will be responsible for the day-to-day management of the GCEO diary and ensuring that they have the papers necessary for meetings. You will also support the effective running of the Board by managing the booking and administration of Board meetings including preparing papers, attending meetings to take minutes and following-up on actions. You will support the GCEO in other related activities as agreed in discussion.

Internal Contacts - Board Members and the Executive Team

External Contacts - External Contacts Corporate Members, Strategic Partners, Government Departments, Payroll Provider, Accountant, IEP Fellows

General Tasks:

  • Support the CEO with the management of their calendar by liaising with external agencies and business partners to organise and book meetings as requested.
  • Prepare meeting agendas, perform research for meetings, and take minutes during meetings
  • Support any travel coordination including air and ground transportation, hotel reservations, security, visas, and other travel documentation.
  • Liaise with the IEPs remote office location regarding correspondence and incoming phone calls
  • Take phone calls for senior managers and colleagues when they are not available
  • Communicate with Board Members, schedule Board Meetings, and arrange meeting agendas
  • Maintaining a policy renewal schedule and ensuring policies are reviewed as required by the Board.
  • Support the marketing and media functions on set piece events
  • Maintain electronic filing system
  • Contribute to team meetings by assisting with the production of materials and pre-reads, taking notes, and tracking action items.
  • Provide general project support as needed including ad-hoc reporting.
  • Other duties as assigned in support of the business (ad hoc tasks).

Work Demands:

  • A requirement to manage several ongoing tasks at the same time, requires a flexible approach.
  • Planning personal workload and tasks.
  • Reports distributed to the Board in a timely manner prior to meetings.
  • Accountable for time management to setting own deadlines.

Knowledge and Understanding

Essential

  • You will have experience of working in an executive administrative or management role, preferably for a CEO.
  • You will have a good knowledge of and be a competent user of IT and be able to use IT in a working environment to include Microsoft Office Suite – Outlook, Word, Excel and PowerPoint (or equivalent).
  • You will have a good level of education, with excellent numeracy and communication skills, both verbal and written and the ability to effectively communicate using a variety of formats.
  • You will have good organisational skills; with the ability to meet deadlines and deliver work to agreed standards.
  • You will be comfortable working in a variety of environments: you will mostly be working from home but will be expected to visit other locations for Board meetings and planned IEP events.
  • You will have excellent levels of customer service with the ability to interact autonomously with internal and external partners.

Desirable

  • You will have worked for an organisation that operates in the Employability Sector or that supports people to change lives.

  • You will have strong communication and interpersonal skills and ability to work with people at all levels, building relationships at distance as well as face to face
  • You are diplomatic, discreet and able to maintain confidentiality
  • You are flexible and responsive to change
  • Primarily working from home, you are a self-starter able to use initiative and work proactively and independently
  • You will keep your own skills up to date developing knowledge through continued learning and be willing to learn about the employability sector if you have not previously worked there.

Our Offer

  • Hours – this is offered as a part-time role (15 Hours per week, across a minimum of 4 days per week).
  • Salary - £25,000 pa. pro rata. (Actual salary £10,000pa)
  • Holiday – 20 days per year in Year 1 (pro-rata); 25 days per year from Year 2.
  • Location – Working from home but requirement to travel to meetings where required across the UK. Some additional IEP meetings subject to discussion and agreement. All travel for IEP business will be paid for according to our expenses policy.
  • Pension – Enrolment in an approved pension scheme according to Auto Enrolment requirements.
  • Death in Service insurance and other benefits.
