SA Receptionist

To carry out a range of reception duties efficiently and effectively to support the clinical, nursing and administrative staff of the Small Animal Hospital (SAH).
Main Duties and Responsibilities 1. Schedule clinics, front desk and deal with emergencies in an efficient and cooperative manner, ensuring the admission and discharge of animals is conducted in a timely fashion.
2. Dealing with all forms of communication from clients and referring veterinary practitioners; answering those within personal competencies and redirecting others to appropriate personnel.
3. Allocate appointments to hospital clients including routine outpatient, emergency referral and specialist appointments, ensuring that defined protocols are followed to ensure consistency of service.
4. Assist with standard account procedures including the processing and handling of insurance claims, invoice payments and Group 4 cash collection.
5. Take, assess and progress all forms of communication (telephone, e-mail, fax and postal) in an efficient and timely manner. Include within this is the switchboard, which must be covered at all times of the day.
6. Assist with and undertake, as required, general office duties including data entry, filing, room allocation and the organisation of clinics.
7. Support the processing of insurance documentation.
8. Maintain the appearance of the Reception area and Consulting Rooms. 9. Deal in a sensitive manner with bereaved clients. 10. Assist in the training of new staff and trainee veterinary nurses, as well as enrolling in courses that may be outwith normal hours of work to further develop clinical office skills.
11. Review protocols on a regular basis highlighting any suggested changes. 12. Process merchandise orders and over-the-counter sales. 13. Cover other areas of the clinical office outwith normal core hours, staff shortages, or as required.
14. Cover all public holidaysâ, âother daysâ and weekends on a rota basis.
Knowledge, Qualifications, Skills and Experience Knowledge/Qualifications
Essential:
A1 Educated to VQ 2/3 level, Standard Grades or equivalent.
A1 Computer Literacy, with experience of Microsoft word and excel, please describe evidence of this.
Skills
Essential:
C1 Strong verbal and written communication skills.
C2 Evidence of excellent IT skills.
C3 Evidence of working on a switchboard or telephony experience.
C4 Evidence of organisational skills with the ability to prioritise a busy workload.
Desirable:
D1 Evidence of using initiative and working with minimal supervision.
D2 Evidence of working as part of a team.
D3 Evidence of liaising effectively with people of different grades of staff.
D4 Evidence of ability to learn new skills as required.
Experience
Essential:
E1 1-2 years relevant experience with the above qualifications OR evidence of progression & development gained through 3-4 years relevant work experience.
E2 Evidence of working in a demanding, fast paced reception.
Desirable:
F1 Experience of working in a doctor or veterinary surgery practice.

Terms & Conditions
Salary will be on the Management, Professional and Administrative Grade, level 4, £17,329 - £19,972 per annum pro rata based on 21 hours per week Mon, Tues, Wed and Fri â" 0830-1230, Thursday â" 0830-1330
New entrants to the University will be required to serve a probationary period of 6 months.
The successful candidate will be eligible to join the University of Glasgow Pension Scheme (UGPS).
This post is fixed term for 1 year.
