Your opportunity:

Founded in 1967, the Institute for the History and Philosophy of Science and Technology is a graduate studies and research centre at the University of Toronto. We offer a variety of undergraduate courses, in addition to M.A. and Ph.D. programs. Our faculty’s key expertise consists of the history of medicine and biological sciences, history of mathematics and physical sciences, history of technology, general philosophy of science, philosophy of biology, philosophy of medicine, philosophy of physics, and philosophy of mathematics.

The Undergraduate and Graduate Administrator oversees and maintains the administration of the IHPST Undergraduate and Graduate programs.

Your responsibilities will include:

  • Overseeing and maintaining the administration of the Undergraduate and Graduate programs.
  • Advising students on academic and/or financial matters by providing options and consequences incorporating personal circumstances impacting academic success and an understanding of an individual's background.
  • Providing detailed information on program and/or course eligibility requirements, procedures, policies and deadlines. Making informed referrals and supporting an individual in distress until referral contact is made.
  • Advising on the appropriateness, precedents and process for petitions and appeals, and suggesting alternative course of action as necessary. Reviewing and assessing petitions for special consideration.
  • Coordinating and implementing the preparation and distribution of program and/or course material and timetable schedule.
  • Analyzing and making recommendations on award funding allocation. Reviewing and approving changes to program requirements for exceptional cases. Determining which applications to refer to committee for selection.
  • Analyzing service delivery and/or internal processes and recommending improvements.
  • Determining logistical details required for the execution of admissions processes.
  • Reviewing and approving changes to program requirements for exceptional cases. Ensuring that procedures and/or guidelines are followed.
  • Analyzing statistical information to inform enrollment projections and planning and preparing reports.
  • Analyzing course enrolment and waitlisted numbers to identify need for additional lecture sections.
  • Producing promotional and outreach materials and leading student seminars and/or workshops. Developing and delivering student recruitment presentations.
  • Analyzing potential placement opportunities to determine suitability with student academic learning objectives. Evaluating and recommending appropriate work-integrated learning opportunities for students.
  • Interpreting guidelines to determine the eligibility of graduate students for teaching assistantships. Preparing draft employment letters using templates. Keeping well-informed on changes to policies, procedures, collective agreements, and applicable legislated requirements.


Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum four years of recent and related experience in leading and providing administrative support for an Undergraduate and/or Graduate program in a University environment.
  • Experience counselling students on academic matters.
  • Extensive knowledge of the University with emphasis on the Faculty of arts and Science undergraduate and/or graduate academic guidelines and procedures or other related procedures.
  • Experience overseeing and coordinating the scholarships & fellowships to the School of Graduate Studies; coordinating the exam and marking process; coordinating and advising on the petitions process; reviewing and assessing admissions and award applications; analyzing and making recommendations on award funding allocation; developing and maintaining records and files; coordinating the calendar submissions, time and course scheduling and room assignments; analyzing statistical information for enrollment projections and planning; creating and updating student records; analyzing service delivery and admissions processes, and recommending improvements; and performing other related undergraduate and/or graduate administrative processes .
  • Experience with conceptualizing, organizing and leading student event activities.
  • Experience leading seminars and/or workshops and preparing promotional and outreach material. Experience with developing and delivering student recruitment presentations.
  • Analyzing potential placement opportunities to determine suitability with student academic learning objectives. Evaluating and recommending appropriate work-integrated learning opportunities for students.

  • Strong working skills in Microsoft office including Excel, PowerPoint and Word.
  • Strong working skills of ROSI; ROSI Express and Degree Explorer or other related student database system.
  • Strong working knowledge of maintaining databases and statistical reporting.
